Santa Clara County Booking Lookup: Search by PFN, Booking Number, Name or Date
Santa Clara County’s official custody lookup is not just a surname roster. The search works with a Person File Number (PFN), a booking number, or the person’s name combined with date of birth or booking date.
This guide explains how to use that system correctly, what PFN and booking numbers mean, how to troubleshoot a missing inmate, where Main Jail and Elmwood are located, how bail works, how to register for visits, which visiting times apply, how to follow the criminal case, and where to call when the online record is not enough.
150 W. Hedding St., San Jose, CA 95110.
PFN, booking number and name search are three different ways to find the same person
The Person File Number identifies a person in the Santa Clara County custody system and is especially useful for repeat custody records and visitation.
The booking number identifies a particular arrest or custody booking. It is useful when you already have the arrest paperwork.
Use first and last name plus either date of birth or booking date. This prevents broad same-name results.

How to read Santa Clara County custody information
The Administrative Booking Division states that public information for people currently in custody can include bail, charges, warrants, holds, initial court date and projected release date.
| Field | What it means | Best next step |
|---|---|---|
| PFN | Person File Number used by the county to identify the individual. | Save it for visiting, booking questions and identity verification. |
| Booking number | Identifier tied to the particular arrest/custody booking. | Use it when asking about the current incarceration rather than the person’s broader history. |
| Charges | Alleged offenses associated with the current booking. | Use Superior Court records to check what was ultimately filed and what happens next. |
| Bail | Current bail amount or condition that may apply to the booking. | Verify all charges and holds before paying. |
| Warrant | A warrant may be connected to custody. | Ask whether it creates a separate hold or court matter. |
| Hold | Another agency, warrant or legal condition may prevent release. | Call Booking Information before assuming bail will result in release. |
| Initial court date | First reported court appearance information. | Confirm through the Superior Court because calendars can change. |
| Projected release | A release date currently projected by the custody system. | Do not treat it as guaranteed; recheck if arranging transportation. |

How bail works at Santa Clara County Jail
The Sheriff’s Administrative Booking Division publishes a clear bail workflow for people who are eligible for bail.
Bring the full bail amount to the jail cashier window. Jail staff can process the transaction when the defendant is eligible.
A commercial bail bond agent may post the bond and charge a non-refundable fee. The Sheriff’s Office cannot recommend a specific bail company.
Published bail hours and payment types
| Item | Published rule | Why it matters |
|---|---|---|
| Bail posting hours | 5:00 a.m. to 12:00 a.m. | Do not assume the cashier window is available at every hour of the night. |
| Cash | Accepted under the Sheriff’s current published procedure. | Verify the full amount and all holds first. |
| Bank cashier’s check | Accepted. | The payment instrument must satisfy the jail’s current requirements. |
| Money order | Accepted. | The Sheriff’s page directs cashier’s checks/money orders to be payable to Santa Clara County Judicial District. |
| Bail bond | Accepted when a licensed bail agency posts an eligible bond. | The commercial premium is separate from the bail itself and is generally non-refundable. |
What happens to cash bail later?
The Sheriff’s page explains that the defendant must complete the court proceedings before posted bail funds are returned. It says the court generally takes about 4 to 6 weeks after proceedings are complete to mail the funds by check. If the defendant fails to complete required proceedings, bail can be forfeited.

Santa Clara County jail commissary accounts and release refunds
The Sheriff’s Inmate Welfare Services Unit handles financial matters connected with incarcerated-person commissary accounts and supports programs funded through inmate welfare operations.
The Sheriff’s website provides a dedicated Custody Commissary system for sending funds or ordering approved packages for someone in custody.
Use the county-linked custody commissary service rather than mailing unapproved food or store items directly to the facility.
If a person leaves custody without receiving the full commissary balance, a county commissary-refund form is available.
How release refunds work

| Typical refund processing time | About 3–4 working days, not including weekends or holidays. |
| Refund method | Refunds are paid by check only. |
| Cash at release | Released persons are given up to $20 cash from the commissary account; remaining funds are issued by check. |
| In-person refund form | Forms may be submitted at Main Jail or Elmwood in addition to the online option. |
Before setting up calls for a Santa Clara County inmate
Santa Clara County custody units provide inmate telephone access, but communication providers, rates and account features can change. Use the Sheriff’s current custody-service links or Booking Information to confirm the active account method before funding a phone account.
Make sure the person is still at Main Jail or Elmwood before creating or funding an account.
Correct identifiers prevent deposits or account actions from being associated with the wrong person.

Santa Clara County inmate-search tips that prevent common mistakes
PFN identifies the person; booking number identifies the particular custody booking.
Have DOB or booking date ready before opening the official search.
Main Jail says most booked people are cited/released or post bail, so a very recent arrest may not become a long-term jail stay.
Booking Information can provide public information on warrants and holds—critical before posting bail.
Do not apply the Main Jail check-in time or visitor-history rules automatically to Elmwood.
A late visitor loses the appointment, and the missed/canceled visit counts.
Bring original ID—photos or photocopies do not qualify.
If an inmate is relocated, scheduled visits may be canceled and need to be rebooked.
Charges shown in custody are not the same as conviction or final disposition.
